Job Description Summary

The University of Southern Indiana invites applications for the Associate Director of Special Events and Scheduling Services to begin November 2017. This position is responsible for facilitation of specific essential, highly important and visible events on campus to further the mission of the University of Southern Indiana. Management function includes, but is not limited to: event planning, implementation and coordination of campus services (both internal and external service providers); work closely with all resources and event support personnel to ensure seamless and successful experiences for clients. Serve as University ambassador by providing effective and positive interaction with clients. Produce events that exceed expectations of internal and external event sponsors and guests. Fulfill direct supervisory responsibilities for Scheduling Services Supervisors and Manager of Special Events and Scheduling Services. Provide input in supervision of Event Services group and Student Managers. In the absence of the Director of Special Events and Scheduling Services this position serves as a backup on the management and administration of the Special Events and Scheduling Department.

Essential Knowledge and Skills:
• Bachelor’s degree required; preferred area of study in hospitality, event management or related field.
• Five to seven years of professional experience in event or conference management is required, of which three years include supervision.
• Strong active listening and clear, specific oral communication skills required. Must also possess effective, detail-oriented written communication skills appropriate for audiences ranging from executive event sponsors to internal support staff.
• Exceptional service orientation and excellent interpersonal and relationship building skills are required, underscoring the ability to communicate effectively and work with a diverse group of internal and external clients. Must also possess a high level of social perceptiveness and diplomacy.
• Competency with all Microsoft Office applications and the ability to learn other applications as needed, such as Event Management System scheduling and Meeting Matrix room design software, is required. Must possess knowledge sufficient for generating own electronic correspondence, contracts and reports as needed.
• Excellent organizational skills with a refined aptitude for details and the ability to simultaneously manage multiple projects are required.
• Requires problem anticipation and resolution skills, together with the ability to perform all hands-on event activities as needed for troubleshooting of event preparation and implementation.
• Must possess valid driver’s license and use own vehicle as needed.
